Managing A Week+ Long Combo Of Events.

The Sacred Fire Community are based in Central and North America and have thousands of members worldwide. Among their community are many nationalities, with a UK and Irish chapter that is growing fast. The Community Elders had never held a Grandfather Fire Gathering outside of the Americas and were seeking to hold their first in Ireland, choosing Crann Og Eco Farm and ourselves to host this important event.

Managed With Skill And A Sense Of Ease

Challenge

The community wished to host three distinct phases of their 10 day event, firstly a retreat for 20 people of 5 days, a gathering of up to 100 people of two days, and finally a debrief and training retreat for 18 core community members.

When the community approached us our venue did not yet have the capacity for the gathering phase of the event. We committed to the group to build another two yurts, some infrastructure and rustic wood furniture to seat all at gathering meals. In addition we sourced accommodation in the local area to house all of the gathering attendants.

Just a month out from the event the marquee scheduled for the event, coming from the UK with the event crew, was not available for the event. It was close to peak summer and tourist season in Ireland, initial enquiries for a locally sourced suitable marquee were not encouraging.

Solution

Adding the construction of so many additional facilities, although with several months lead time, added to an existing heavy winter and spring program. Additional catering equipment was sourced as were materials for building furniture, yurts and infrastructure.

Sourcing an excellent chef and support team was the next biggest challenge. For many months we sought to compile a volunteer team to work along side us and the chef.

Once winter arrived we set about making all we needed and making some adjustments to existing facilities. We simulated some of the more critical aspects of the event and collaborated with the community’s member volunteers to ensure smooth running of the meals and clean up.

Attending the event were key VIP community members with additional care and accommodation needs. In addition catering for the events was vegetarian, with vegan, dairy and gluten free options and catering for common and acute allergies.

How Did We Do?

 

Despite some inclement weather and the events being attended to full capacity, the events went off smoothly and were regarded as a roaring success. Our team of volunteers proved to be an excellent team, as was our own full time crew and the chef.
